We're looking for an energetic professional Office Assistant/Receptionist who doesn't mind wearing multiple hats. As the first point of contact for our customers, the Office Assistant/Receptionist is an integral part of both the business operations and the public perception of Sante. The role includes receptionist, office administration and documentation support duties.
 
The Sante Operations office is located in north Scottsdale off the 101 and Pima.


Receptionist functions:
Greet visitors via phone or in-person. 
Provide effective, professional telephone and mail communications both internally and externally.
Maintain reception area in a clean and inviting manner; stock brochures and business cards.
Provide efficient, friendly and courteous customer service while handling inquiries.

Office functions:
Process and distribute incoming and outgoing mail.
Handle incoming and outgoing packages and shipments (FedEx)
Order and maintain office supplies (Office Depot, Costco,)
Stock and maintain coffee/kitchen area (waters, sodas, utensils and paper goods)
Maintain corporate contact lists
Book meeting rooms
Acts as main contact for Property Management issues

Administrative functions:
Ensure that various administrative tasks are done in an effective and efficient manner.
Scans and uploads patient documentation and various forms to Corporate office
Orientation: Creates all materials for new hire orientations (room set-up, name tags, lunch ordering, folders)
Assist with Human Resources tasks (new employee folders, name badges and photos, new employee binders)
Orders Supplies: Business cards, name plates, access cards for suite and building, maintains postage meter
Maintain Home Health Census binder




Minimum Qualifications: 

  • Minimum of two (2) years' office management and reception experience required. 
  • Experience in the healthcare industry is preferred. 
  • Solid experience with MS Office (Word, Excel), computer literate

Special Skills, Knowledge, and Abilities: 

  • Must work well in a team environment, be able to represent Sante with professional courtesy. 
  • Positive attitude and self-motivation, strong accountability and ownership. 
  • Demonstrate a sense of urgency, initiative, responsiveness, and attention to detail. 
  • The ability to interact with associates in a fast paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. 
  • Must be reliable, punctual, organized, and have demonstrated ability to juggle multiple priorities in a busy office.
